1. The service (and what "beta" means)
BillPilot is double-entry bookkeeping software. It is offered as a private beta: features may change, appear, or be removed as we build, and occasional downtime or defects are possible. We work hard to keep your data safe (see backups below), but during beta the service is provided as-is, without warranties of any kind, and our total liability to you is limited to the amount you have paid us for the service (during the free beta, that's $0).
2. Your account
- Accounts are created by invitation during the beta. You're responsible for keeping your password confidential; we store only a one-way hash of it.
- Repeated failed sign-ins are rate-limited to protect your account.
- If you believe your account has been accessed without your permission, reset your password immediately and contact us.
3. Your data
- Ownership: the financial records you enter or import are yours. We claim no rights to them beyond what's needed to operate the service for you.
- Storage: data is stored on servers in the United States (AWS, Oregon region). Uploaded files are kept outside the public web space and are reachable only through your sign-in.
- Backups: the database is backed up nightly with a rolling retention window.
- Deletion: Settings includes an "erase books" option that permanently deletes your accounts, transactions, budgets, and uploaded files. Erased data disappears from backups as the retention window rolls over.
4. Privacy
- What we collect: your email, display name, the financial data you enter or import, and standard technical logs (IP address, timestamps) kept for security and troubleshooting.
- Cookies: one session cookie so you stay signed in. No advertising or cross-site tracking cookies, no analytics beacons.
- We never sell your data and we don't share it with third parties, except the service providers needed to run BillPilot (e.g., our hosting provider, and an email delivery provider for messages like password resets), or if the law requires it.
- Bank connections: BillPilot currently imports bank files you download and upload yourself. If automatic bank feeds are added, they will be via a dedicated provider, will be opt-in, and this policy will be updated first.
5. Not professional advice
BillPilot is a bookkeeping tool, not a professional advisor. Nothing in the software — including reports, projections, payroll calculations, tax-line mappings, or any suggestion or summary the software generates — is tax advice, legal advice, accounting advice, or investment advice. Projections are estimates based on the data you entered, not guarantees. Verify anything consequential with a qualified professional (CPA, enrolled agent, attorney, or financial advisor) before acting on it. Payroll features perform arithmetic you configure; they do not file taxes or determine tax obligations.
6. Acceptable use
Don't attempt to access other members' data, probe or disrupt the service, or use BillPilot for unlawful activity. We may suspend accounts that do. If we ever discontinue the beta, we'll give you reasonable notice and a way to export your data first.
7. Changes
We may update these terms as the product evolves; the "last updated" date above will change and material changes will be announced in-app. Continuing to use BillPilot after a change means you accept the updated terms.
